RHODO COMMUNITY MARKET – STALL HOLDER APPLICATION and AGREEMENT

CONDITIONS

NOTE: By signing this agreement, you undertake to adhere to these conditions.

  1. Stall holders must supply a copy of their Public Liability and Product insurance policy.
  2. Food stall holders must also supply a copy of their NSW Food Authority Food Safety Certificate and number.
  3. Stall holders must ensure they know and observe current NSW Health Covid Guidelines.
  4. Outdoor stalls must include all necessary tables, chairs and shelters. (Indoor stalls may use Hall furniture.)
  5. Any stall using heating equipment must include a fire extinguisher or fire blanket.
  6. Sale of raffle tickets or conducting of raffles are not permitted.
  7. Sale of water pistols, water bombs, pressurised spray cans, knives, swords or similar items are not permitted.
  8. No vehicles are permitted in The Gardens. All goods and equipment must be carried or trolleyed between the road and your stall. Indoor stalls can load via the Gardiner Crescent door.
  9. Food stalls must abide by NSW Food Authority regulations (separate attachment).
  10. All rubbish must be collected during pack-up and either binned or taken with you. Liquid waste must not be dumped on garden beds, lawns, or in drains or gutters.
  11. Products offered must be as stated. Any variations must be approved by the Organisers.
  12. The Blackheath Rhododendron Festival will not accept responsibility for any damage to persons or property in connection with or relating to the conduct of the Rhodo Community Market.
  13. The Organisers offer no expectations about the number of attendees at any market or the success of any stall.
  14. Stallholders will behave in a respectful and reasonable manner towards all other participants, organisers and the public, as appropriate to a friendly, community event.
  15. The Committee reserves the right to adjust these rules if changed circumstances cause the need to arise.

REQUESTS and SUGGESTIONS

  • When you have finished unloading (but before setting up), please move your vehicle away from any entrances to The Gardens or the Hall, to allow other stall holders (and your customers!) access. Double parking must be avoided.
  • Please ensure that your stall is safe from hazards such as trip hazards or sharp edges on tables or awnings.
  • We suggest you bring your own first aid kit.
  • Given the Covid-induced move to cashless transactions, we recommend that you arrange a credit card payment facility for your stall.
  • We ask that food containers and cutlery be recyclable where possible and not plastic or polystyrene.

FEES

All stalls      $40 per single site (approximately 3m x 3m).
                     $80 per double site.
Food stalls   Additional $10 per stall to cover Council Food Safety inspections.

Note that food stalls are defined by the NSW Food Authority as those which offer any items intended for human consumption, including ready-to-eat food, produce, fruit and vegetables and pre-packaged food.

Payment must be made at least one week in advance of any market date to confirm your stall at that market.

You may confirm any number of markets in advance.

We will refund your fees for a given market if:

  • we have to cancel that market (e.g. because of Covid). We will give you as much notice as possible, or
  • you can’t make it AND you give us at least a week’s notice.

MARKET DATES 2023

Set-up 7.00 – 8.00 am; markets open 8.30 am; Pack-up 1.00 – 2.00 pm. (except Nov #).

Saturday 4th is Rhododendron Festival Day.
Set-up that day will commence at 5.00 am, the market opens at 8.00 am and pack-up will commence at 4.00 pm.
More details regarding November will be forthcoming later in the year.

Application Form

DECLARATION

I acknowledge that I am participating voluntarily, have been provided with all necessary information and will ask for clarification of anything that isn’t clear. I also acknowledge that, should I fail to adhere to any of the conditions or the spirit of this agreement, the Market Organisers reserve the right to terminate the agreement.

I declare that all information I have given, including attachments that I will send separately, is true and correct.
